New Commercial HVAC System? Here’s How to Keep It Running With Regular Maintenance

A new commercial HVAC system is a major investment, and the work does not stop once installation is complete. Regular maintenance helps you track equipment performance, address developing issues, and stay on top of manufacturer-recommended service from the start.

The first year is a good time to establish a maintenance routine for filters, coils, controls, drains, belts, and other components that affect performance. Here is what commercial property owners and facility managers should include in an ongoing maintenance plan for new HVAC equipment.

Why New Commercial HVAC Equipment Still Needs Maintenance

New equipment isn’t maintenance-free. Belts stretch as they break in, construction or renovation dust quickly loads filters, and refrigerant charge and airflow settings need to be confirmed under real operating conditions, not just on startup day. Research from the Department of Energy’s Pacific Northwest National Laboratory describes a period right after installation, when failure rates run higher before equipment settles into normal operation.

On top of that, a commercial unit works much harder than a home air conditioner. It runs longer hours, serves bigger spaces, and often supports kitchens, server rooms, or warehouse operations. Our team handling commercial HVAC services in Evansville sees it often: a system that went a year or two without attention starts needing repairs it never should have needed.

How to Keep Your New Commercial HVAC System Running Right

These six steps cover what matters most in the first year and set up a routine that keeps paying off long after.

1. Change the First Filters Sooner Than You Think

If your new equipment went in during a build-out or renovation, the air is full of drywall dust, sawdust, and debris. That dust lands on filters first, then on the coil if you don’t swap the filters in time.

  • Check filters within the first few weeks if construction work is still going on.
  • Move to at least a quarterly filter schedule after that.
  • Go more often for kitchens, warehouses, or high-traffic spaces.

A clean coil on day one is easy to keep clean. A dirty one costs efficiency every hour the unit runs.

2. Have Belts Re-Checked After the Break-In Period

New fan belts stretch during their first weeks of operation. A belt tensioned perfectly at startup can be loose a few weeks later; a loose belt slips, wears out early, and cuts the airflow your building depends on.

Ask for a belt tension check during the first follow-up visit. It takes minutes and can prevent a squealing blower and a weak-airflow call down the road.

3. Read the Maintenance Terms in Your Warranty

Many manufacturer warranties don’t cover neglect-related damage, and some require proof of routine service if a major part fails. Find out what yours requires now, not when a compressor goes out.

  • File the warranty paperwork and registration somewhere your team can find it.
  • Note any required service intervals.
  • Keep every maintenance record and invoice.

A clean service history is the simplest way to keep a warranty claim from turning into an argument.

4. Record Baseline Readings While Everything Is New

Right now, your equipment is running at its best. Refrigerant pressures, supply air temperatures, and motor amp draw recorded today become the benchmark for every future visit.

When a technician later sees pressures drifting or amp draw creeping up compared to that baseline, it points to a developing problem long before anyone feels it in the building. Without a baseline, there is nothing to compare against.

5. Make Sure Controls Match How You Use the Building

New equipment often comes with default schedules and setpoints that do not match your business hours. A unit cooling an empty office all weekend wipes out a chunk of the savings you paid for it.

  • Confirm occupied and unoccupied schedules, including holidays.
  • Check that thermostats and sensors are reading accurately.
  • Verify economizers and dampers are set to bring in outside air when it helps.

These are quick adjustments, and they often pay off on the very next utility bill.

6. Put Seasonal Visits on the Calendar Now

Evansville’s humid summers and cold winters put equipment through two very different workloads every year. A spring visit before cooling season and a fall visit before heating season catch most problems before they turn into breakdowns.

Setting up commercial HVAC maintenance while the equipment is new is the easiest way to make sure those visits actually happen instead of slipping off the to-do list.

What Happens When New Equipment Gets Ignored

Skipping maintenance on new equipment rarely causes a breakdown in year one. The damage is quieter. Efficiency slides a little each season, belts and bearings wear faster, and dirt builds on coils until the unit runs longer to do the same job. By year three or four, the system costs more to run and needs repairs that regular service would have prevented.

The bigger risk comes when a major part fails, and the warranty claim gets questioned because there is no service history. Pacific Northwest National Laboratory research found preventive maintenance can save 12% to 18% on average compared to only fixing equipment when it breaks. On a new system, those savings start on day one and protect the investment you just made.
